We're Ravenfall Quinthal Architecture, based out of Toronto at 285 Queen Street West. Been doing this sustainable heritage and modern urban design thing for a while now, and honestly, your trust means everything to us.
This policy covers any info you share when you reach out through our website, call us at (416) 555-0142, shoot us an email at info@ravenfallquinthal.info, or work with us on a project. Whether you're inquiring about heritage restoration or planning your dream commercial space, same rules apply across the board.
We're subject to Canadian privacy laws (PIPEDA and all that), plus Ontario's specific regulations. So yeah, we've gotta play by the rules – but more importantly, we actually want to respect your privacy.
Contact Details: Your name, email, phone number, mailing address – basically whatever you give us so we can get back to you about your project. Can't design your building if we don't know how to reach you, right?
Project Information: Details about what you're looking to build, restore, or redesign. Property info, budget ranges, timelines, those Pinterest boards you've been obsessing over – all that good stuff that helps us understand your vision.
Website Usage Data: Standard stuff like IP addresses, browser types, pages you visit on our site. We use this to figure out what's working and what's not. If everyone's bouncing from our heritage restoration page, we probably need to fix something there.
Communication Records: Emails, meeting notes, phone call summaries. We keep these so there's a clear record of decisions made during your project. Trust me, six months into a build, you'll be glad we documented everything.
Financial Info: Payment details, invoicing information, contract terms. Pretty standard for any professional service, and we keep this secure.
Let's be real – we use your info to do our job. That includes:
We don't sell your data to third parties. Never have, never will. That's not how we roll. Your info stays with us unless there's a legitimate reason to share it (like sending plans to your contractor or complying with a legal requirement).
We're pretty protective of your data, but sometimes we need to share it with others to get the job done:
Our Team: Obviously, our architects and staff need access to your project info. Everyone here signs confidentiality agreements though.
Project Partners: Structural engineers, contractors, consultants – the folks who help bring your project to life. They only get what's relevant to their part of the work.
Service Providers: Our hosting company, email service, cloud storage – the tech infrastructure that keeps things running. These companies have their own privacy obligations.
Legal Requirements: If the law says we gotta hand over information (court orders, regulatory compliance, that kind of thing), we'll do it. But we'll let you know unless we're legally prevented from doing so.
Portfolio Use: Sometimes we'd love to showcase completed projects on our website or in marketing materials. But we'll always ask your permission first. If you say no, that's totally fine – we won't include it.
We take security seriously – maybe too seriously according to some of our team who've complained about the password requirements. Here's what we do:
That said, nothing's 100% hack-proof. We do our best, but if there's ever a data breach, we'll let you know ASAP and tell you what happened and what we're doing about it. Honesty's pretty important to us.
It's your data, so you've got rights. Here's what you can do:
Access Your Info: Wanna know what we've got on file? Just ask. We'll send you a copy of your personal information within a reasonable timeframe.
Correct Mistakes: If something's wrong or outdated, let us know and we'll fix it. We want accurate records too.
Delete Your Data: Want us to erase your information? We can do that, as long as we're not legally required to keep it (like for tax purposes or ongoing legal matters).
Opt Out of Marketing: Don't wanna hear from us unless it's about an active project? No problem. Every email we send has an unsubscribe link, or just tell us directly.
Withdraw Consent: Changed your mind about something you previously agreed to? You can take back your consent anytime, though it might affect our ability to provide certain services.
Yeah, we use cookies. Not the chocolate chip kind, unfortunately – just the digital tracking ones that help us understand how people use our site.
We use them to remember your preferences, track which pages are popular, and generally make the website work better. Most are "session cookies" that disappear when you close your browser. Some stick around longer to remember your preferences next time you visit.
You can disable cookies in your browser settings if you want, but some parts of the site might not work as smoothly. Your call though – we're not gonna force it.
We don't keep stuff forever – that'd be weird and impractical. Here's our general approach:
Active Projects: Everything stays on file while we're working together. Kind of a no-brainer.
Completed Projects: We keep project files and communications for 7 years after completion. That's partly because of professional liability requirements and partly because clients sometimes come back years later with questions.
Financial Records: Tax law requires us to keep these for at least 7 years. Again, not our rule – blame the CRA.
Marketing Lists: If you're just on our mailing list and haven't worked with us, we'll keep your contact info until you unsubscribe or until it's been inactive for a couple years.
Our website might link to other sites – suppliers, industry organizations, project partners, whatever. Once you click through to their sites, we can't control what happens to your data there. They've got their own privacy policies, so you'll wanna check those out if you're concerned.
We try to only link to reputable organizations, but we can't guarantee their practices. Just use common sense when sharing personal info anywhere online.
Privacy laws change, our business evolves, technology advances – you get it. We might need to update this policy from time to time.
When we make significant changes, we'll post a notice on our website and update the "Last Updated" date at the top of this page. If you're an active client, we'll probably send you an email too.
We'd recommend checking back here occasionally, especially if it's been a while since you last looked. Though let's be honest, you probably won't – nobody does. Just know that we'll make sure you're aware of any major changes that affect how we handle your information.
Look, if you've got questions about this privacy policy or how we're handling your data, just reach out. Seriously – we'd rather you ask than sit there worrying about it.
